Quick answer: Choose a PO Box when collecting physical mail locally is practical. Choose a virtual mailbox when you need someone to open and digitize selected letters while you are elsewhere. Neither a street-style address nor an envelope preview automatically solves residential-address requirements or delivers an original document.
The virtual mailbox vs PO box decision is mostly a choice about access and delegation. Do you want to retrieve paper yourself, or pay another organization to handle it and send you digital copies? This guide concerns US mail services, with documentation checked on October 15, 2026. It does not establish legal residence or guarantee a particular institution will accept an address.
Compare what happens to the same letter
| Task | USPS PO Box | Virtual mailbox |
|---|---|---|
| See what arrived | Eligible Informed Delivery users can preview incoming letter-sized mail | Provider may upload an exterior image; plan and processing rules apply |
| Read the contents remotely | The ordinary box rental does not open and scan contents | Request content scanning under the selected service terms |
| Obtain the original | Collect locally; check counter or locker access | Arrange pickup if available, or pay for forwarding |
| Keep sensitive paper out of a scanning workflow | Collect unopened mail yourself | Consider who opens mail and who can access the resulting files |
| Handle packages | Check Street Addressing eligibility and restrictions | Check the exact facility’s carrier and size limits |
The PO Box column follows USPS PO Box services and the USPS Premium PO Box customer agreement. The virtual-mailbox column uses the documented workflow of US Global Mail personal-mail service as an example, not a promise that every provider offers the same features.
Informed Delivery is useful, but it is not content scanning
An exterior preview can tell you that a letter is on its way; it cannot tell you what the pages inside say. USPS describes Informed Delivery as an added feature for eligible PO Box accounts, with previews of incoming letter-sized mail. If you only need to know when to collect mail, that may be enough. If you must read a statement while away, identify a content-scanning arrangement instead.
This distinction can prevent paying for the wrong solution. A person staying near the Post Office may need only a reliable collection routine. Someone away for months may value remote content access much more than the convenience of a nearby locked box. Count how many collection trips you can realistically make, not how many you intend to make in an ideal week.
A PO Box is not automatically restricted to USPS parcels
At participating locations, Street Addressing can accommodate qualifying private-carrier packages. The USPS agreement specifies the permitted address format and package restrictions. Confirm the service at your chosen Post Office before ordering; a general statement that PO Boxes never receive UPS or FedEx packages is too broad.
The same agreement says that Street Addressing must not be used as a physical residence or business location in legal documents. A conventional-looking line on a shipping label does not change what the address represents. For a virtual mailbox, ask the relevant institution whether it accepts the specific address for mailing and, separately, any residential requirement. Do not buy a mailbox to work around an unverified eligibility rule.
Compare complete costs without inventing a national price
USPS directs buyers to location-specific availability and pricing. Obtain a quote for the box size and rental term you actually need rather than comparing a nationwide advertised minimum with a different service. Then include the cost of collection: travel, time, and any help you need while absent.
For a virtual service, separate subscription, content scans, forwarding, storage and onboarding costs. Ask whether a quote counts incoming envelopes, opened items or pages. The same ten envelopes could contain ten pages or several hundred; an allowance measured in one unit cannot safely be priced as another.
A useful break-even question: What monthly amount would you reasonably pay to avoid your actual collection trips? Compare that amount with a written virtual-mailbox quote including your expected scans and original-document deliveries. Your time value is a personal assumption, not a provider fee.
A PO Box is a strong candidate when you pass the Post Office regularly and need the originals. A virtual mailbox is a stronger candidate when distance makes collection impractical and most correspondence can be handled digitally. If almost every item still needs forwarding, the digital step may add expense and another handoff without eliminating physical delivery.
Opening the service and leaving it are different tasks
USPS requires a visit with identification to activate a PO Box. A CMRA virtual mailbox instead uses USPS Form 1583, June 2024 edition, which calls for photo identification, separate address evidence and a separate personal-use form for each adult. Confirm the provider’s accepted verification process before subscribing, especially if your documents or location complicate onboarding.
The Form 1583 agreement also says a USPS change-of-address order must not be filed when ending the agency relationship; transferring mail is the applicant’s and agent’s responsibility, with new postage when it is remailed. Plan to notify senders directly and arrange the provider’s exit handling. Closing a mailbox is not equivalent to rerouting everyone who writes to you.
Decide who should control the paper
With local collection, you remain responsible for checking the box and acting on documents. With outsourced scanning, you also need rules for who opens the envelope, retains the original, receives a forwarding instruction and handles a problem. For USGM specifically, the US Global Mail Privacy Policy describes third-party AI processing for enabled AI features and an opt-out setting. Review comparable privacy terms for any provider you consider.
Keep a separate list of documents you must not shred. If something goes missing, distinguish the sender’s dispatch, receipt at the mailbox facility, processing, and the onward carrier’s tracking. An online scan proves neither that the original reached you nor that a deadline has been met.
A practical choice in four questions
- Can you collect paper reliably? If yes, price a nearby PO Box first.
- Do you need to read contents remotely? If yes, compare actual content-scanning plans.
- How often must originals reach you? Price those deliveries before choosing.
- Will important senders accept the address for its intended use? Confirm before redirecting them.
If the answers point to outsourced handling, compare current providers and their exact location rules. US Global Mail is one option to investigate, rather than a necessary upgrade from a PO Box.
